Organising an Event in Crawley

Anyone can organise an event, however if you wish to hold an event on Council land you will need permission from the Council. An event can be anything from a sponsored walk or community picnic through to large-scale music festival or sporting spectacular. Anywhere outside on public land can be considered a possible event site. Popular examples are a park, community space such as an adventure playground or the town centre. You can hold an event at any time of year however before planning your event you will need to check your date and location is available. This can be done using the online form in the application process below.

Fees and charges

There are fees associated with holding events on our land and these can vary depending upon the type, size, location and purpose of the event. Once we have more details we can advise on any charges which may be payable.

Discounts

Charities, local organisations and non-commercial/community groups can benefit from a reductions in fees. You can apply for a discount as part of the application process.

Application process

Please complete the online form to express your interest in holding an event in Crawley to give us a brief idea of what you plan to do and where. We will make sure the area of land you want to use is available and suitable for what you are planning.

Once we have confirmed the date and location is available and suitable we will send you an application form to complete along with our terms and conditions which must be agreed to. Please read through this document as it contains useful information on licensing, health and safety, timescales, fees and charges and the criteria for approval of an event.

You will need to send your completed application form to the events team for assessment. All events will require a risk assessment and you will need to provide proof of public liability insurance before the event can go ahead. Larger or more complex events will require an onsite meeting at the location to discuss your plans, a full event management plan to be submitted and consultation with our Safety Advisory Group.

Once your event has been confirmed we will send you an event consent form which may have conditions attached. You will need to have a copy of this event consent form with you on the day of your event and all conditions must be satisfied for full consent. Larger events may require a contract.

Once your event has been approved it is important to advertise your event so please add the details to the events directory on our website by completing the online form .
